Meeting Minutes
Area Agency on Aging for Lincolnland

Call to Order – President John Smith called the meeting to order at 4:40 p.m.

Roll Call – the following members attended: Lucia Jones, Barbara Eskildsen, Joanne Thomas, Mike O'Donnell, Todd Shakelford, Tracy Barczewski, Shana Holmes, John Smith, and Jon Lavin. A quorum was established.

Minutes – Joanne Thomas moved approval of the minutes of the March 25, 2014 meeting; seconded by Barbara Eskildsen. Motion carries.

Treasurer's Report – The Treasurer presented a written report with a fund balance of $44,653.17 as of May 27, 2014. The Treasurer reported that IAS made payments for the provision of ESP administrative activities to Northeastern Illinois Area Agency on Aging for the period October 1, 2013 through December 7, 2013, and AgeOptions, Inc. for the period October 1, 2013 through March 31, 20014. Lucia moved acceptance of the Treasurer's Report; seconded by Joanne Thomas. Motion carried.

Enhanced Services Program – Members reviewed the ESP report. There were no corrections. John Smith reported that Xuma will discontinue hosting the ESP database on their server and discontinue software support after December 31, 2014. Dave Frederick has informed IAS of his plan to retire and will no longer be available to support the ESP software. The Atlanta Area Agency on Aging is willing to give IAS the codes for the ESP software. IAS needs to plan for hosting and supporting ESP after January 1, 2015. IAS and I4A need to obtain a commitment from IDoA to fund a fileserver and cloud storage for the ESP database and software support for ESP as part of a comprehensive IT system. Unless IDoA invests in the ESP platform, the State can no longer claim that Illinois has a statewide resource database of services for older adults. I4A leaders will meet with upper management at the Illinois Department on Aging to request their collaboration and support for ESP. IAS member Area Agencies on Aging agreed that the ESP database is a valuable asset, and they will continue to manage the ESP databases for their Planning and Service Areas and update their records annually.

Training Grant – Joanne Thomas reported on plans for the training session on evidence-based programs for older adults scheduled for May 28, 2014 from 12:30 p.m. to 5:00 p.m. at the Agriculture Building on the grounds of the Illinois State Fair in Springfield. Seven AAAs will make presentations.
